How do we get your information
We get information about you from the following sources:
- from the dealership from whom you are purchasing the vehicle
- from information that you provide directly to the council as part of the application process (if you apply for a grant to cover taxi ‘operational’ costs)
- from existing council databases used for CYC’s Taxi Licensing activities
What personal data we process and why
We process the following personal data, such as:
- name
- CYC Driver Licence Number (Badge Number)
- Taxi Firm (if private hire)
- home address
- contact telephone number
- contact Email
- current vehicle make/model/registration mark, date of first registration
- CYC Vehicle Licence Number (Plate Number)
- details of the vehicle being purchased
- bank account details (account holder name, sort code and account number)
- under some circumstances, we may require confirmation of vehicle insurance details and/or receipts obtained for goods/services that you have bought in relation to operation of a vehicle as a taxi in CYC’s area
The personal information you give us either directly, or through the dealership, will be used by the council to process your grant application as you have requested.
If you do not provide the personal information requested by us, either directly, or through the dealership, we may not be able to process your grant application.
Automated decision-making
We do not carry out any automated decision-making as part of the grant application.

Children’s information
Where we provide services directly to children or young people, the information in the relevant parts of this notice applies to children and young people, as well as adults.
Lawful basis for processing your personal data
Any personal data that we process about individuals is done so in accordance with Article 6 of the UK GDPR and Schedule 1 of the Data Protection Act 2018 (DPA 2018).
The legal basis for processing your personal data is in accordance with the following:
Article 6(1) of the UK GDPR:
(a) Consent: the individual has given clear consent for the council to process their personal data for a specific purpose.
(b) Contract: the processing is necessary for a contract the council has with the individual, or because they have asked the council to take specific steps before entering into a contract.
(e) Public task: the processing is necessary for the council to perform a task in the public interest or for our official functions, and the task or function has a clear basis in law.
How long we keep your personal data
The council will only keep your information for as long as it is needed and then we will delete or destroy it securely.
The dealership will keep your personal data for as long as it is necessary to process your vehicle purchase. If you have any questions about this, please speak to the dealership directly.
Data sharing
We will only share your personal information with other council services as appropriate e.g. Finance Services and Taxi Licensing.
We will only share your personal information with the dealership who you are purchasing an eligible vehicle from (or hoping to purchase an eligible vehicle from).
In some circumstances, such as under a court order or safeguarding, we are legally obliged to share information. We may also share information about you with third parties including our data processors, government agencies and external auditors. For example, we may share information about you with HMRC for the purpose of collecting tax and national insurance contributions or Defra for performance reporting.
We must protect public funds and may use personal data and data-matching techniques to detect and prevent fraud, collect taxes and ensure public money is targeted and spent in the most appropriate and cost-effective way. To do this, your personal data may be shared with other bodies responsible for auditing or administering public funds, including the Department for Work and Pensions, HM Revenue and Customs, the Police and other local authorities.
We will always satisfy ourselves that we have a lawful basis on which to share the information and document our decision-making.
Additionally, we are required under the Public Records Act 1958 (as amended) to transfer records to the City or National Archives (TNA) for permanent preservation. Full consideration will be given to Data Protection and Freedom of Information legislation when making decisions about whether such records should be open to the public.
Data processors and/or third parties
Where we have third parties providing parts or all of our services for us, we have contracts in place with them.
Transfers of personal data
We do not routinely transfer personal data outside of the UK but when this is necessary, we ensure that we have appropriate safeguards in place and that is done in accordance with the UK data protection and privacy legislation.
How we protect your information
