Collecting personal data
The York Central Community Forum (YCCF) and the York Central Partners (YCP) are committed to involving the adjacent communities and broader city wide stakeholders in the shaping and influencing of the York Central development site.
The YCP are:
- City of York Council (CYC)
- Network Rail
- National Railway Museum
- Homes England (previously the Homes and Communities Agency)
When you submit your comments to the Forum coordinator or to a Ward Councillor, we will collect:
- your name
- personal contact details such as your email address and phone number(s)
- your views on the York Central development
We may take occasional photographs of meetings and tours as a record of the event, for use in reports and York Central documents.
As a courtesy, at the start of any event to be photographed, an announcement will be made by the Chair. No confidential material shall be photographed.
Young people under the age of 16 will not be photographed.
Editing of content will not take place.
As this is a consultative forum rather than a public or decision-making meeting, no filming, webcasting or social media reporting is proposed.
Using personal data
We will only use your personal data in accordance with the Data Protection legislation and for the purposes stated in this Privacy Notice.
We may use the personal data we collect from you for reporting, research and statistical purposes. When we do this, it will be anonymised which means the personal data will be turned into a form that does not identify individuals.
Sharing personal data
We will not use or share your personal data with third parties outside the YCCF or use it for any other purpose than that stated in this Privacy Notice.
If you are a community representative:
- we will only share you name and email address within the closed forum group to enable dialogue between members
- we will only publish your name and who you represent on the council’s website and/or future YCP website
- we will only share or publish your personal contact details, such as your email address, where you have given us consent to do so
Sharing data under Data Protection legislation
We may be required or permitted, under data protection legislation, to disclose your personal data without your explicit consent, for example if we have a legal obligation to do so, such as for:
- law enforcement
- fraud investigations
- regulation and licensing
- criminal prosecutions
- court proceedings
We must protect public funds and may use personal data and data-matching techniques to detect and prevent fraud, collect taxes and ensure public money is targeted and spent in the most appropriate and cost-effective way. To do this, your personal data may be shared with other bodies responsible for auditing or administering public funds, including the Department for Work and Pensions, HM Revenue and Customs, the Police and other local authorities.
Retaining personal data
We will keep your personal data in accordance with our retention schedule requirements and when we no longer have a need to keep it, we'll delete or destroy it securely.
At the end of the retention period, we may pass any relevant information to the City Archives where it is required or appropriate to do so.
Further processing of personal data
If we wish to use your personal data for a new purpose, not covered by this Privacy Notice, then we'll provide you with a new notice.
The new notice will:
- explain this new use before we start the processing
- set out the relevant purposes and processing conditions
Where and whenever necessary, we'll seek your consent to the new processing, if we start to use your personal data for a purpose not mentioned in this Privacy Notice.
Your rights relating to personal data
When we collect your personal data we'll tell you how we are going to use it. Where we process your personal data, you have a number of rights under data protection law.
